Q.How does OuluTrip's private customization process work?
As your dedicated travel concierge, our process honors efficiency and personalization. First, simply share your general travel intentions (dates, group size, preferences). Our senior travel designer will reach out for a one-on-one consultation within 24 hours. After thoroughly understanding your needs, we will craft an exclusive itinerary tailored just for you. Once the proposal is confirmed, a deposit secures your private vehicle and personal chauffeur-guide, and we will handle all subsequent arrangements with meticulous care.
Q.What is included in the customized itinerary quote? Are there any hidden fees?
We uphold our 'Quiet Luxury' service standard with an absolute commitment to transparent pricing. Your custom quote typically includes: luxury vehicle usage (fuel, tolls, parking), dedicated Chinese-speaking chauffeur-guide service, and the guide's meals and accommodation. We absolutely never engage in any commissioned shopping or hidden mandatory expenses. Entrance tickets, your personal dining, and accommodation can be freely selected according to your preferences, or we can assist with advance bookings at cost.
Q.How far in advance should I book my trip?
To ensure we can allocate the highest-caliber vehicles and premium chauffeur-guides for you, we recommend booking at least 2-4 weeks in advance during off-peak seasons. For peak periods such as summer holidays, National Day, Christmas, or Chinese New Year, we advise planning 1-2 months ahead to avoid any scheduling conflicts that might affect your travel plans.
2Cancellation & Protection Policies
Q.What is your cancellation and modification policy if my plans change?
We deeply understand that our distinguished clients' time is precious and subject to change. Compared to traditional agencies' rigid terms, we offer more flexible cancellation protection: cancellations made more than 15 days before departure qualify for a full refund (less any non-refundable advance booking fees incurred). Within 15 days, a reasonable tiered deduction will apply based on actual vehicle vacancy losses. Please refer to our Terms of Service page at the bottom for complete details.
Q.What happens if we encounter unexpected situations during travel (illness, severe weather)?
Your safety and comfort are our foremost priorities. During your journey, your chauffeur-guide serves as your most reliable personal concierge. In case of severe weather, we will provide professional alternative route recommendations. Should sudden illness occur, your guide will promptly assist with medical care and adjust the pace of your itinerary. Meanwhile, our 24-hour back-office support team remains on standby to provide comprehensive assistance at any moment.
3Vehicles & Dedicated Chauffeur-Guides
Q.What vehicle types do you offer? How is their condition maintained?
We are not merely a travel agency—we are the owners of our self-operated premium fleet. All vehicles serving you are under 3 years old, with our flagship model being the Mercedes V-Class (Vito/V250/V300) luxury MPV, accommodating up to 7-8 distinguished guests. Every vehicle undergoes regular deep cleaning and safety maintenance, equipped with drinking water, umbrellas, and charging devices to ensure every second of your journey is experienced with utmost dignity.
Q.What are the chauffeur-guides' qualifications? Do they also serve as tour guides?
Our chauffeur-guide team is the soul of OuluTrip. They are not only seasoned safe drivers with full UK and Europe operating licenses (including £1M passenger liability insurance), but also true connoisseurs of local culture and customs. They will provide vivid, detailed commentary both in-vehicle and at major attractions, recommending authentic cuisine and hidden gems. Please note that for certain protected heritage sites or museum interiors, local regulations may require specialized internal docents; your guide will advise you well in advance.
Q.What are the chauffeur-guides' daily working hours?
To safeguard your travel safety and strictly comply with European regulations on driver fatigue, the standard daily service time is 10 hours (including driving and waiting time). Our carefully crafted itinerary designs ensure that within this golden window, you experience the finest attractions at the most comfortable pace.
4Special Requirements & Family Travel
Q.Can the itinerary accommodate infants or elderly travelers?
Absolutely. Serving family clients is our greatest expertise. For senior guests, we optimize the itinerary pace to avoid exhausting walks. For infants and toddlers, we provide complimentary EU-highest-safety-standard child car seats (please inform us of age and weight at booking). Our spacious luxury MPVs can easily accommodate foldable wheelchairs or strollers.
Q.Can we bring our pets along on the trip?
We fully understand that pets are cherished members of your family. Subject to advance communication and confirmation of pet type and size, and provided you bring your own pet carrier or protective mat, certain vehicles in our fleet do permit pet companions. Please inform your dedicated concierge at the initial customization stage so we may make proper arrangements.
